Catering Unit Application

Dear Caterer,

On behalf of Penrith Agricultural Society I would like to invite you to tender for a catering unit at this year’s Penrith Show, to be held on the 28th July 2018, on the Show Field at Brougham Hall Farm, near Penrith.

We are a well-established Agricultural Show, drawing exhibitors and public alike, from all over the county and further afield. Footfall for the last few years has been good: in the region of 10,000+, but last year we had dreadful weather and numbers were severely reduced.

There is a separate “Catering Tent” on the field which caters for Judges and Stewards as well as providing catering for the public with an indoor seated area.  Also some trade stands have “hospitality” for their clients.

This year we are looking for a variety of Catering units.  The units we hope to attract are: 4 Burger Type; 2 Specialist Coffee; 1 Doughnut; 4 ice-cream vans and up to 5 Alternative Food Choices.  This should allow variety of choice for the public, whilst still giving enough room for profit for you.

We have 2 covered Food Courts where the public could sit and eat and drink their purchases.  We also placed the catering units close to these areas, for the public’s convenience and to boost sales.  It is for this reason that the number of burger units has been reduced, so that we do not double up on foods at each area.

The criteria that the Committee use are not solely based on tender price.  We also look to give a variety of food options to the public; look at the price of food sold to the public; recommendations from committee members and other shows; as well as some quality & local produce. 

Tender forms must be returned by Friday 1st December 2017.  Page 2 of the form must be completed for each unit you are applying for.  If you have not catered at the show in the last 2, years photographs of each unit are also essential, you may email these to me.  All tenders will be presented to the Committee at their December meeting and a decision made.  Following that meeting I will contact all those who submitted tenders to say if they were successful or not. 

If your bid is successful I will invoice you for the 10% non-refundable deposit and request any outstanding paperwork by the end of January.  You will then be invoiced for your balance tender amount in May.  Assuming all paperwork is complete and payment made, your vehicle passes and entry passes will be issued in July.

By tendering for a catering unit on the Show Field you are agreeing to the terms and conditions as set by the Society, copy enclosed.

Please note the Show’s trading times and restrictions on exit times from the field.  The last event in the Main ring is at 5.30pm, so members of the public are still on the show field after this time.  Trade Exhibitors & Catering Units may not bring vehicles onto the field, or move off the field until 6pm.  This should give the public and livestock vehicles time to exit the field.
